Proof of Delivery (POD)
A signed document confirming that a shipment was delivered to the consignee in the specified condition at the noted date and time.
Proof of delivery is a document signed by the receiving party at the delivery location confirming that the shipment has been received, documenting the date and time of delivery, the condition of the freight upon arrival, and any exceptions or discrepancies noted during the receiving inspection. The POD serves as legal evidence that the carrier fulfilled its obligation to deliver the freight and as the basis for any claims related to damage, shortage, or temperature excursions discovered at delivery.
For refrigerated shipments, the POD should include temperature-specific information beyond what appears on a standard dry freight delivery receipt. This includes the reefer unit temperature at the time of delivery, the pulp temperature of the product if checked by the receiver, any temperature data logger readings or printouts, and any notations about the condition of the reefer unit or evidence of temperature abuse during transit.
Electronic Proof of Delivery
Electronic POD (ePOD) systems are replacing paper-based proof of delivery in much of the cold chain industry. Drivers capture delivery confirmation using mobile apps that record the time, GPS location, temperature readings, and photographic evidence of the delivery condition. The receiver signs on the device screen, and the documented delivery record is immediately transmitted to the carrier, broker, and shipper.
The importance of accurate POD documentation cannot be overstated for refrigerated freight. If temperature damage is discovered after delivery, the POD and its associated temperature records are the primary evidence used to determine whether the damage occurred during transit or after the carrier's responsibility ended. Clean POD documents with no temperature exceptions protect the carrier from unjustified claims, while PODs with documented temperature concerns protect the receiver's right to file a legitimate claim.
