Electronic Data Interchange is a standardized format for exchanging business documents electronically between trading partners' computer systems. In freight transportation, EDI enables the automated exchange of shipping instructions, load tenders, shipment status updates, delivery confirmations, and freight invoices between shippers, carriers, brokers, and receivers without manual data entry or paper documents.
Common EDI transaction sets used in freight transportation include the 204 Motor Carrier Load Tender, which transmits shipment details from shipper to carrier; the 214 Transportation Carrier Shipment Status Message, which provides tracking updates; the 210 Motor Carrier Freight Details and Invoice, which transmits carrier billing; and the 990 Response to a Load Tender, which communicates the carrier's acceptance or rejection of a tendered load.
EDI in Cold Chain
For cold chain operations, EDI provides the automation backbone that ensures temperature-critical shipping instructions are transmitted accurately and quickly. When a shipper tenders a refrigerated load via EDI, the 204 transaction includes the required reefer temperature setting, special handling instructions, and delivery appointment information. This data flows directly into the carrier's dispatch system, reducing the risk of miscommunication that could result in an incorrectly set reefer temperature.
While EDI remains the dominant standard for electronic data exchange in transportation, newer API-based integration methods are increasingly used alongside or in place of traditional EDI. APIs offer advantages in speed, flexibility, and ease of implementation, particularly for smaller companies that find EDI's rigid format requirements and implementation costs challenging. Many modern TMS platforms support both EDI and API connections, allowing companies to use whichever method works best with each trading partner.
